Product overview
Keen Agreements and Audits for Creatio (KAA) provides functionality for setting up agreements (i.e., contracts), then managing or administering them through their lifecycles, including to schedule alerts (typically in advance of renewal dates) and conduct audits.
KAA provides ability to track invoices and payments for agreements. It also includes the ability to define both financial and non-financial metrics for tracking the performance of the parties to an agreement relative to their contracted commitments. For example in a public agency, the number of jobs created in a community in return for tax incentives. For example in a commercial company, either the payments against invoices or the hours consumed on a staffing-augmentation agreement.
KAA comes with pre-configured reports and dashboards for agreements and audits. These reports and dashboards are easily customized and extended using Creatio's No-Code tools.
Use cases:
- Sales Operations. Create contracts that include entitlements to goods and services, so that alerts and reports can be generated per your business rules in response to customer under-consumption, over-consumption, and renewals. Use Creatio's standard functionality for requesting and receiving approvals as might be needed per your business rules.
- Project Management. Track invoice generation, delivery, and payments. Define all key parties and stakeholders in a contract for purposes of automated workflow and communications. Define key performance indicators (KPIs) for tracking and management. Connect related contracts, for example, a Statement of Work (SOW) and its Project Change Requests (PCRs). Automate the process for approvals. Easily integrate to e-signature solutions.
- Grants Management. Administer the performance or status of grants either secured from a funding entity or awarded to a recipient, tracking both financial and non-financial metrics for an unlimited number of years. Automate processes for periodic reviews by oversight entities. Capture notes and communications for reference and compliance. Conduct audits.
- Administrative Operations. Administer contracts of all types through their end-to-end lifecycles with standardized rules, automations, and dashboards for monitoring and management. Use standardized templates for both automated and ad hoc communications.
Key features:
- Stakeholder Management. Define any number of parties to an agreement along with their roles (i.e., not limited to only two parties per agreement). Define administrative, financial, legal, and delivery contacts, along with key executives and other contract stakeholders. Send automated reminders to designees as metrics are achieved or renewals are approaching.
- Metrics and Compliance Management. Define metrics for monitoring both financial and non-financial performance of the contract, typically in respect to commitments or entitlements applying to the parties of the contract. Monitor for an unlimited number of metrics over an unlimited number of years. Generate alerts and launch workflow upon triggers defined by your business rules (for example, notify the sales team when a customer is under-consuming or over-consuming relative to contractual entitlements). Generate annual reports for reviews with stakeholders and oversight entities.
- Invoice and Payments Management. Track invoices and payments within the context of contracts. Maintain a register of upcoming and overdue invoices in respect to targeted submission and payment dates. Allow front-line personnel not just the finance team to be an engaged and informed part of the revenue-collection process.
- Documents and Approvals Management. Connect contracts to documents (i.e., files) either by using hyperlinks (for example, to a SharePoint repository) or by uploading as attachments. Solicit, obtain, and preserve approvals for any given contract and its key document(s). Maintain comments and communications from approvers for future reference.
- Reminders and Alerts. Define the rules or triggers by which notifications go to designated contract stakeholders. Generate lists, reports, and dashboards for providing views of contract requirement priority action.
- Reports and Dashboards. Use the pre-configured KAA reports and dashboards. As normal with Creatio, leverage the strong no-code tools for customizing and extending the pre-configured reports and dashboards.
- Customized Attributes and Workflow. Likewise, use the strong Creatio No-Code tools for adding unlimited custom attributes (i.e., fields) and implementing unlimited custom automations to your solution.
Notes:
- Leverage. This application is powered by Creatio No-Code BPM / CRM platform, which provides rich baseline functionality for relationship management, workflow automations, stakeholder communications, mobile apps, portals, dashboards, and more.
- Implementation. As an enterprise-caliber product, this application requires an implementation project. Due to its pre-configured functionality and its Creatio No-Code tools, implementation can potentially be a mere handful of weeks but more typically is 12 to 16 weeks, with the duration being mainly a function of how much process-design work is desired; how much data is to be cleansed and imported; how many non-CRM systems are to be integrated; and how much focus your organization can commit to the implementation project.
- Integration. This application integrates with other systems per modern industry methods (REST APIs, OAuth, webhooks, and more) using no-code tools and pre-configured connectors.
- Extension. Due to the power of the Creatio BPM engine, the platform can readily be enhanced and extended to support future requirements, even new areas of operations.
