Product description

Keen Grants Management for Creatio (KGM) provides public agencies and non-profit organizations the functionality that they need for either pursuing or awarding grants:

  1. From making initial contact,
  2. Through managing either proposals (for receiving grants) or solicitations (for awarding grants),
  3. To either winning or extending awards.

For tracking and administering your grants over the long term (after any given grant has been received or awarded), Keen Grants Management is complemented by another Keen360 product on Creatio Marketplace, Keen Agreements and Audits for Creatio (KAA). At present, Keen Grants Management requires Keen Agreements and Audits, because in combination, they enable end-to-end lifecycle management for any given grant.

For pursuing or awarding grants, KGM allows your team to capture both financial and non-financial metrics related to any given grant, typically for purposes of defining the commitments into which the awarding party and the receiving party are entering (for example, jobs to be created and tax incentives to be extended for a given grant).

KGM automates communications and collaboration not only within your internal team but also with external parties who are engaged in the process of pursuing or awarding grants (for example as applicants or approvers). To facilitate operational excellence, KGM provides numerous pre-configured reports and dashboards, which can easily be customized and extended with the standard no-code tools from Creatio.

KGM extends the baseline Sales Creatio application for leads, opportunities, tasks, calendars, and more. As mentioned, it is complemented by Keen Agreements and Audits for Creatio, which provides the functionality for tracking administering grants over the long term, notably including a year-over-year performance of the parties in meeting their commitments.

Use cases:

  • Pursuit Teams: Enable your pursuit teams to draw upon history and lessons from your organization's prior relationships and past proposals with those who are offering grant opportunities. If using subcontractors for the work to be funded by a grant, run the solicitation and evaluation process. Automate workflow, communications, and collaboration. Set alerts and reminders. Track the pipeline of grants either currently under pursuit or previously pursued. Capture lessons and insights about past wins and losses; also about key decision makers from the awarding organizations.
  • Solicitation & Evaluation Teams: Receive new prospects as leads, then build relationships and send applications for incentives or awards that your organization is offering. Manage the progression of any given grant through its development and approval activities. Define and subsequently track both financial and non-financial metrics for assessing performance of the grant (and its respective parties).
  • Approval Teams & Bodies: Leveraging standard Creatio No-Code functionality, provide automated workflow and reports for approvals of either proposals or awards. Generate reports for approving parties or bodies. Capture feedback and decisions. Retain relevant notes and communications for future reference.
  • Administration & Compliance Teams: Capture and report upon both financial and non-financial metrics over the life of the agreement for the grant or incentive. Generate annual snapshots and reports. Retain notes and communications from periodic reviews.

Key features:

  • Notes & Correspondence: Make it easy for your team to capture and retrieve call notes and correspondences with prospects and customers. Provide templates and automations for your team to use, thereby saving time and ensuring consistency. Keep reference materials in the Creatio knowledge base.
  • Leads & Opportunities: Manage your grants being pursued and/or your grants being offered from the moment of making initial contact to the moment of either receiving or extending the notice of award.
  • Relationships Management: Capture and maintain relationships with organizations and individuals, including the relatively complex web of relationships that prevail in governmental entities. Keep histories of all interactions and notes for the so-called "360 degree view" of any given relationship. Allow individuals to be tracked across the multiple organizations with which they might be affiliated.
  • Grants Management: Track the attributes and metrics specific to grants (whether being pursued or offered), including both financial and non-financial metrics for an unlimited number of years (i.e., no limit to the life of the contract). Define workflow and automations specific to your organization's preferred way of working. Provide reports and dashboards for operational excellence and managerial insight. Generate key documents via automations.
  • Agreements Management: Create contracts (a.k.a., agreements) directly from the opportunities by which proposals and applications are managed. Enable monitoring and management over multiple years. Provide alerts and reminders for reviews or other actions (e.g., based upon target thresholds not being achieved for a given metric).
  • Audits Management: Plan and conduct audits for contracts or other purposes.
  • Reports / Dashboards: Use No-Code reports and dashboards to monitor and manage operations and contracts.

Notes:

  • Leverage.  This application is powered by the Creatio No-Code BPM / CRM platform, which provides rich baseline functionality for relationship management, workflow automations, stakeholder communications, mobile apps, portals, dashboards, and more.
  • Implementation.  As an enterprise-caliber product, this application requires an implementation project. Due to its pre-configured functionality and its Creatio No-Code tools, implementation can potentially be a mere  handful of weeks but more typically is 12 to 16 weeks, with the duration being mainly a function of how much process-design work is desired; how much data is to be cleansed and imported; how many non-CRM systems are to be integrated; and how much focus your organization can commit to the implementation project.
  • Integration.  This application integrates with other systems per modern industry methods (REST APIs, OAuth, webhooks, and more) using No-Code tools and pre-configured connectors.
  • Extension.  Due to the power of the No-Code Creatio BPM engine, the platform can readily be enhanced and extended to support future requirements, even new areas of operations.
